Before paying, record what happens if you cancel, change dates or arrive late. Check the exact deadline and time zone, the charge after that deadline, how any refund is returned, and who handles the request. A discount is useful only when the booking's restrictions fit your plans.
Compare the actual cancellation windows
Two prices for the same room can have different cancellation conditions. Read the terms attached to the selected rate rather than assuming that a hotel, airline or platform has one policy for every booking. A label such as “free cancellation” needs a deadline and any exceptions to be useful.
Copy the date, clock time and time zone into your trip notes. Put a reminder before the deadline if your plans are uncertain. If the time zone is unclear, ask the booking provider before paying.
Save this checklist with your confirmation
| Question | What to record |
|---|---|
| Until when can I cancel? | Date, time and time zone |
| What happens after that? | Fixed fee, percentage, first night or entire booking amount, as stated |
| Can I change dates or names? | Allowed changes, process, fees and possible fare difference |
| What happens if I do not arrive? | The specific no-show terms |
| Where does a refund go? | Original payment method, credit or another stated method |
| Who handles the request? | Booking platform, property, carrier or activity provider |
| Does a promotion affect cancellation? | Whether the offer has additional conditions |
This is a decision worksheet, not a promise that a particular booking is refundable. Booking.com, for example, directs customers to the cancellation and no-show policy displayed during booking and in the confirmation. Check the supplier and rate you actually chose. Booking.com customer terms.
Price flexibility as a separate choice
Imagine a non-refundable stay at $180 and a refundable version at $205. These are fictional prices. The flexibility costs $25. Whether it is worth paying depends on how likely your dates are to change and what you would lose under the cheaper rate.
Compare those consequences directly. A $15 promo code on the restrictive rate does not turn it into a flexible booking. Equally, a flexible label is not enough if its cancellation deadline falls before you will know your plans.
Treat a change and a cancellation separately
A booking that allows cancellation does not necessarily allow a free date change. A new date may require a new booking at a different price. Check both actions before relying on the ability to move a trip.
If you have already booked, inspect the reservation's change or cancellation screen before making another purchase. Save the original terms and ask the provider to clarify any contradictory information. Avoid cancelling a usable booking solely because you expect an unconfirmed replacement discount.
Save the details that matter
Keep the confirmation, payment receipt, selected rate conditions and any written clarification in one place. Do not record card security codes or account passwords in shared trip notes. For a transfer or activity, save the pickup location and late-arrival instructions as well.
